Job Description:

Longwood University invites applications for the VA Education Benefits Coordinator & Records Specialist (FA007) position in the Office of the Registrar. This position will support all operational functions within the Office of the Registrar contributing to the university’s mission and strategic initiatives aimed at increasing student retention and graduation rates. Responsibilities will include supporting all functions in the records and registration area of the Office of the Registrar. This position serves our Veteran population as the lead School Certifying Official and compliance officer for Veterans Education Benefits. The individual in this role is expected to serve on committees and represent both the Office of the Registrar and the Enrollment Management Team. Additional duties include supervising a part-time support specialist and work-study students.

This position is located in Farmville, Virginia, and is required to work in person on Longwood University’s campus.

Essential Responsibilities and Duties:

  • School Certifying Official and team lead for Veterans Education benefits, programming and compliance.
  • Apply policies governing the operations of Longwood University independently and appropriately. 
  • Lead the customer service area to ensure accurate information and high-quality customer service will be provided to all stakeholders of Longwood and the Farmville community.
  • In the Records and Registration division of the Office of the Registrar:

Ensure accuracy and timeliness of all tasks performed. Ensure excellence in services rendered. Build and maintain positive interdepartmental relationships and knowledge. Must be knowledgeable in all campus policies and procedures. Have a firm understanding of academic and office policy to offer the best advice to students. Be an expert in FERPA, state and federal regulations as they apply to the university. Have the ability to be well-versed in all areas of the Registrar’s Office to cover any staff shortage within the Records and Registration area.

  • Oversee and communicate academic standings every fall and spring as well as serve on the faculty petitions committee as non-voting member on behalf of university registrar: As a member of FPC in the registrar’s office, this would entail the collection of all student and supporting documents for petitions.
  • The Senior VA Benefits & Records Specialist must be able to problem solve to identify issues and errors in the various systems used by the Office of the Registrar. To include trouble shooting problems, the ability to run reports to self-audit data entry and other system anomalies. 
  • Supervise the part-time Support Specialist.
  • Supervise work study students.  

Requirements:

  • Bachelor's degree required; Master’s degree preferred.
  • Experience in related tasks within an institution of higher education or Registrar's Office, with knowledge of higher education principles, practices, regulations and processes.
  • Veteran Benefits certification experience preferred.
  • Work experience in Banner or other student information system preferred.
  • Work experience and proficiency in Enrollment Manager preferred.
  • Work experience and proficiency in DegreeWorks, preferred.
  • Demonstrated knowledge and understanding of the operations of an institution and the importance of the interrelation of the support units preferred.
  • Strong customer service/interpersonal skills.
  • Demonstrated ability to be self-directed, work under pressure and be a team player.
  • Strong verbal communication skills including regular presentations to audiences large and small.
  • The ability to change communication message to match audience.
  • The ability to excel in a fast paced every changing environment.
  • Experience in Microsoft Office products, including Word and Excel.

This position is a full-time, administrative and professional, exempt position. A successful fingerprint based criminal background investigation is required. AmeriCorps, Peace Corps, and other national service alumni are encouraged to apply.
